The Professional Womenβs Hockey League (PWHL) is seeking an experienced and passionate individual for the position of Medical Administrative Coordinator. Reporting to the Chief Medical Officer (CMO), this position will play a critical role in supporting the CMO with a wide range of medical administrative functions across the PWHL and its teams. These responsibilities and tasks will be coordinated with and supervised by the CMO.
DUTIES & RESPONSIBILITIES:
- Coordinate with internal departments to support the onboarding of team medical professionals, ensuring all required licenses and insurance documentation are obtained and verified.
- Coordinate contract administration and billing arrangements for team medical personnel and PWHL Takeover Tour games.
- Establish and maintain a network of medical professionals and service providers within PWHL team markets and Takeover Tour locations.
- Assist with the procurement of medical products, invoicing, and expense reimbursements, as required.
- Support the annual budgeting process for the medical department.
- Lead the coordination of events, meetings, and educational activities involving medical personnel.
- Coordinate travel arrangements for the Chief Medical Officer (CMO) as required (e.g., flights, hotels).
- Support the development and management of the Medical Committee, including programming, minute-taking, and follow-through on key action items.
- Develop and maintain various records, documents, filing systems, policies, and procedures.
- Provide administrative support with Electronic Medical Records (EMR).
- Assist with general administrative tasks, ad hoc projects, and other duties as assigned.
QUALIFICATION REQUIREMENTS:
- Remote work experience under minimal supervision.
- Minimum of five (5) years of related experience, ideally in a fast-paced, high-volume organization.
- Experience in a healthcare setting is preferred.
- Ability to work with, anticipate needs, compose communication, respond to communication.
- Experience with complex coordination and project management.
- Must be proficient with computers and MS Office programs.

Working Conditions
- This is a remote role.
- May require to work unusual hours and weekends, including during peak seasons or special events.
- Able to travel, as needed.
Salary range: $55,000 USD - $60,000 USD; $65,000 CAD - $70,000 CAD
