Here's a summary of responsibilities:
Under the supervision of the Associate Director, Paralympic Games Operations, and in collaboration with the Games Operations team, the Coordinator will support the administration of day-to-day projects, specifically supporting the preparation for the Para Pan American Games and Paralympic Summer Olympic Games. This position will help execute the sport and logistical operations of the Games, while also supporting the data that is critical for successful Games. The Coordinator will support and promote the Olympic and Paralympic Movement and contribute to overall planning and implementation of Games Operations division priorities.
Here's how you'll have an impact:
• Support the planning and execution for the sport, logistical, and technical operations for the Para Pan American and Paralympic Games with a focus on supporting NGBs and assisting USOPC staff.
• Establish and maintain appropriate communication channels for NGBs.
• Prepare and distribute Games surveys and follow-up to ensure surveys are completed.
• Compile survey results, assist with input and reporting, and distribute results.
• Assist with NGB Games Planning & Deliverables meetings, including determining frequency and meeting agendas, scheduling meetings, preparing meeting leads, creating materials, collecting data, and assisting with follow-up items.
• Support Games Operations team in planning site visits for upcoming Games.
• Create Games presentations, materials, webinars, and other communications and updates for external and internal stakeholders as needed.
• Execute information collection and tracking for Games, including: Collect delegation logistics and travel data, in collaboration with Events & Logistics Review and verify passport copies and headshop photos
• Manage Games inbox and communication with delegation members
• Partner with Sport Performance team to complete all required delegation information (i.e., long list, short list, final list, nominations, etc.)
• Coordinate the distribution and collection of COP forms for designated NGBs
• Partner with Athlete Safety team to confirm background check and SafeSport requirements are completed for delegation members
• Confirm delegation has completed all USADA requirements
• Assist Delegation App lead with data collection, verification, and system implementation
• Support Games Operations with the tracking of qualifications, nominations, and sport entries.
• Assist with accreditation allocations and games registration as needed.
• Process purchase orders, expense reimbursements, contracts, and invoices for the Games Operations team, partnering with Sport Operations as appropriate.
• Assist with the bid process for external contractors as needed.
• Work with internal departments and external stakeholders, providing timely communication and follow-through.
• Coordinate Rate Card process and ordering for relevant Games.
• Distribute relevant information, including follow-up, to NGBs and internal departments.
• Collaborate with Sport Performance team to collect orders and submit delegation orders.
• Monitor submission, fulfillment, and payment.
• Oversee development, ordering, and distribution of commemorative items for Games, including coins, apparel, certificates, etc.
• Perform Games roles assignments as requested by Games Operations leadership.
• Provide Games-time support in assigned functional areas and/or Games processes while on the ground in the Games host city or remotely if not on site.
• Partner with Games Operations leadership Team to support Games Staff Training, Games 101/Playbooks, and other projects as needed.
• Perform other duties as assigned.
Here are the skills and experience you'll need to be effective:
• Bachelor's degree or equivalent experience
• Must possess or have the ability to obtain a valid passport
• Must possess a valid driver's license
• 1-2 years of professional experience
• Experience in data entry/management, event operations, and/or logistics management preferred
• Well-versed in customer service setting
• Sport experience preferred (i.e., active in competitive/intramural sports)
• Proficiency with Microsoft Office products (Word, Excel, PowerPoint, Publisher, Outlook, SharePoint), CRM, Salesforce, Adobe
• Strong customer service skills
• Passion for sport and the Ideals of the Olympic and Paralympic Movement
• Excellent written and oral communication skills
• Strong organizational skills and attention to detail
• Detail-oriented
• Cultural sensitivity

Here's some more information you need to know:
Hiring pay range $22.65 - $23.50 per hour. This Full-Time, Non-Exempt position is intended to work 40 hours per week. Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 5% target. The USOPC may change or eliminate this program at any time at its sole discretion.
