Job Summary:
This position serves as Chief Financial Officer and Treasurer for USA Swimming and its Foundation, reporting directly to the Chief Executive Officer and serving on the executive leadership team.
Essential Duties/Responsibilities:
Accounting & Finance
- Prepare and distribute financial reports to the Board of Directors, staff, and stakeholders.
- Oversee all financial reporting requirements with United States Olympic and Paralympic Committee (USOPC).
- Coordinate annual audits with both independent and USOPC auditors.
- Manage all required governmental reporting to IRS, State, etc.
- Review required information and coordinate preparation and submission of Form 990 and perform UBIT calculations.
- Approve disbursements (including ACH and wires); serve as primary signature for checks.
- Review general journal entries weekly.
- Ensure policies and procedures are documented and include adequate internal controls.
- Work collaboratively with Investment Committee, Investment Advisor, and Vice Chair – Fiscal Oversight to manage investment portfolio.
- Review Annual Operating Reserves Calculations; ensure adequate cash reserves are available for operations of the organization.
Budget
- Direct and coordinate annual budget preparation, including Foundation budget, and present to Board for approval.
- Analyze staff-prepared budgets, prepare written reports, and recommend adjustments for balancing.
- Monitor current operating results as compared to budget and provide timely advice to CEO regarding positive or negative variances.
Governance
- Attend all Board of Director meetings and present financial reports, as needed.
- Serve as primary contact for the Vice Chair – Fiscal Oversight and inform on important financial issues.
- Serve as staff lead for Investment and Audit Committees and provide counsel and coordination, as needed.
Human Resources
- Meet at least quarterly with 401(k) Investment Advisor.
- Review quarterly 401(k) employer contributions.
- Assist HR Manager/Director with employee benefit bid and budgeting processes.
- Serve on internal investment committee for 401(k) plan.
Risk Management
- Work closely with the Risk Management and insurance division.
- Ensure USA Swimming has a comprehensive and effective risk management program:
- Oversee insurance broker, carrier, and underwriter relationships.
- Work with the Program Director, Risk Management and Secretary & General Counsel to support litigation.
- Ensure education and support for USA Swimming members and regional bodies such as local swimming committees (LSCs) and clubs.
- Support the organization’s athlete protection program.
Management/Other Duties:
- Counsel CEO on all financial planning, policies and procedures that relate to ensuring the ongoing fiscal integrity and health of the organization.
- Serve as member of Strategy Team (senior executive management team) and work collaboratively with all division directors.
- Supervise and direct Finance & Operations business unit staff members, including Accounting and Finance, Purchasing, and Travel.
- Collaborate with Communications Department to provide financial information to the membership, both verbally and in large presentations.
- Other duties, as assigned.
Required Skills & Abilities:
- Exceptional knowledge of finance, accounting, budgeting, cost accounting & principles and the Generally Accepted Accounting Principles (GAAP).
- Excellent verbal and written communication skills.
- Strong supervisory, leadership, time management and problem-solving skills.
- Ability to prioritize tasks and delegate when appropriate.
- Ability to function well in a high-paced environment.
- Expert in Word, Excel, Outlook, and other Microsoft Suite products.
- Establishes credibility and maintains elevated levels of confidentiality.
Education & Experience:
- Bachelor’s degree in Accounting or Business Administration required; Master’s degree preferred.
- Active Certified Public Accountant license preferred.
- Minimum seven years’ experience working in senior-level financial and management roles.
- Minimum ten years of accounting experience.
- Experience with and knowledge of non-profit accounting requirements and regulations.
- Experience working with Olympic sports or National Governing Bodies preferred.
- Extensive experience in accounting related software(s).
- Sage Intacct and SAP Concur experience preferred.
Physical Requirements:
- Must be able to travel, both domestically and internationally, up to 15% of the year.
- Must be able to lift up to ten pounds.
- This position works in an office setting in the USA Swimming headquarters office in Colorado Springs, CO.
